Terms and Conditions

These Terms & Conditions govern the supply of dental laboratory products and services provided by Zenith Dental Labs (“the Lab”) to the referring dental practice/clinician (“the Client”). By submitting a case to the Lab, the Client agrees to these terms.

1.Scope of Work

Zenith Dental Labs provides high-end, custom-made dental appliances including crowns, veneers, implant restorations, cosmetic work, surgical guides, splints, PMMA temporaries, digital design services, and 3D printed products.

All devices are manufactured based on the prescription and information provided by the Client.

2. Case Acceptance Requirements

A case is accepted when the Lab receives:

  • A completed digital or written prescription.
  • Accurate impressions or intraoral scans.
  • Required photographs, shade information, or records.
  • Approval of design (when applicable).
  • Confirmation of payment terms (new clients may require upfront payments).

Missing or incomplete information may delay production.

3. Turnaround Times

Turnaround times begin once all required case information is received. Typical timings include:

  • Posterior crowns: 5–7 working days
  • Anterior work & aesthetic cases: 7–10 working days
  • Implant restorations: 10–14 working days
  • Surgical guides: 5–7 working days after approval
  • Splints/retainers: 3–5 working days

Turnaround may vary depending on case complexity, approval delays, or workload.
Express services may be available upon request and may incur additional charges.

4. Quality Standards

Zenith Dental Labs ensures:

  • Premium materials from reputable suppliers (e.max, zirconia, PMMA, titanium, etc.)
  • Digital workflows with validated systems (3Shape, iTero, Medit, DS Core, Smilecloud)
  • High aesthetic and functional standards
  • Strict quality control and traceability for all medical devices
  • However, final clinical decisions rest solely with the treating clinician.

5. Remakes & Adjustments

The Lab will remake or adjust a case at no charge if:

  • The error was due to the Lab’s workmanship, design, or material failure.

Remake fees may apply when:

  • Impressions/scans are inaccurate or distorted
  • Occlusion or bite records are incorrect
  • The prescription changes after completion
  • There is insufficient tooth preparation or clinical clearance
  • Shade, design, or case details were incomplete or inaccurate
  • The restoration has been modified chairside before returning to the Lab

All remake requests must be submitted within 30 days of case delivery.

6. Delivery & Collection

  • Standard delivery is via tracked courier unless otherwise arranged.
  • Delivery times may vary depending on courier performance.
  • The Lab is not liable for delays caused by external courier services.
  • Practices must inspect deliveries promptly and report any issues within 48 hours.

7. Fees & Payment Terms

  • Invoices are issued upon dispatch of the case.
  • Standard payment terms: 30 days from invoice date.
  • Monthly statements are provided for the Client’s convenience.
  • Late payments may result in suspended services until the account is settled.
  • Prices may change with notice; updated price lists will be provided.

8. Digital Files & Case Data

  • All digital files (STLs, designs, photographs) are processed securely and may be archived for traceability.
  • The Lab retains ownership of digital design files unless otherwise agreed.
  • Designs cannot be reused or modified by third parties without Lab permission.

9. Infection Control Requirements

The Client is responsible for ensuring all physical impressions, models, or appliances arrive clean and disinfected in compliance with HTM and GDC guidelines.

Items arriving in an unsanitary condition may be refused or returned.

10. GDPR & Confidentiality

  • The Lab acts as a Data Processor for patient information.
  • Data is used only for manufacturing and case communication.
  • Digital workflows are encrypted and secure.
  • A full GDPR statement or DPA is available upon request.

11. Clinical Responsibility & Liability

  • All restorations are manufactured based on the Client’s prescription and clinical information.
  • The Lab is not responsible for clinical errors, insufficient reductions, poor impressions, or chairside fit outcomes.
  • Liability is limited to the cost of the dental restoration provided.
  • The Lab does not reimburse chairside time, surgery costs, or consequential losses.

12. Warranty

  • Standard warranty: 12 months against material or manufacturing defects.
  • Warranty exclusions include:
    • Trauma or patient misuse
    • Poor preparation or occlusal environment
    • Prescription changes
    • Implants or components supplied by the Client

13. Termination of Services

Either party may terminate services with written notice.

The Lab may suspend or terminate services immediately if:

  • Accounts remain unpaid.
  • Abuse, misconduct, or unreasonable demands occur.
  • The Client repeatedly submits inadequate records that compromise safety or quality.

14. Governing Law

These Terms & Conditions are governed by UK law, and disputes will be handled under the jurisdiction of UK courts.

15. Acceptance of Terms

By sending a case to Zenith Dental Labs, the Client acknowledges these Terms & Conditions.
